I start every conversation with our interns at ReadyAI with this sentence: It is not about how much time you have. It is about how effectively you manage your time.
Effective time management is one of the most effective skills that we need in life. If there is one thing I have learned studying in undergraduate and graduate school, serving in the military, working across 11 time zones, and managing a start-up while studying from my Ph.D., it’s the importance of paying attention to how I use the precious time I have.
I tell every intern that managing his or her time is not only good practice, but it is also good for productivity and organization. It is about following a time management system that will help interns get things done in order to achieve success with their goals. And by managing their time properly and efficiently, they can create an organized life.
Here are four tips I often give our new interns about managing their time.
-
Wake up EARLY. I recommend between 5-6 a.m. And have a morning routine. Successful interns are early risers and have a morning routine in place. Morning routines include exercise, reading, healthy breakfast, planning and prioritizing the day.
-
Create a REAL ToDo list. This must be a regular habit undertaken daily by our most successful interns. I often suggest to our interns to have 3-4 main goals for each day and to ensure that they can complete it. It is also important to prioritize the items and constantly review them throughout the day. Here is a tip. I tackle the most important tasks first, specifically the ones that are taking the most time. Working from the hardest tasks to the easiest can actually free up more time later in the day.
-
Create a REAL Schedule. I am a big fan of online calendars. They are now making it so easy for us to create schedules. I use Google Calendar. I also color-code different categories (work, personal, school and etc) of entry and share with friends, family, and colleagues as necessary.
-
Prioritize. Be realistic, all daily tasks are not equal in importance. I typically highlight the events that are essential so I can see them at a glance and be sure not to miss them. Prioritization is the most important skill for our interns at ReadyAI. I often advise our interns on their to-do list to always prioritize events and complete the most important first. If there are items that are not important or not time-sensitive, then considering moving them off their current list and on to another day.
The key is in not spending time, but in investing it.
